Email Signature Templating

    Hi Rob,

    A general enquiry.

    One of our clients has asked us to set up a generic email template so that her staff and associates can enter their specific information where neccessary.

    The idea is that the signature will contain a company logo graphic and perhaps also small icons for phone, fax, email, website and the like.

    This is for general use in MS Outlook.  Is there something that you can recommend outside of the basic Outlook templates system?

    Hi David,

    If the emails are going to be sent from Outlook, then the Outlook templating system is the way to go.

    View this video for an excellent overview on how to obtain and modify ready-made Outlook templates from Office Online, followed by an example of how to create one and save it. Make sure you watch it all the way through as it touches on more than one subject.

    The templates are made in HTML and you can use an external editor if you want, but it is probably easier to use the editing facilities in Word, which is normally the default editor in Outlook. Note that the default editor can be changed, so if it doesn't look like Word then it probably isn't and should be changed back to Word in the Outlook preferences.

    It's worth viewing test emails in different email applications, and at services like Hotmail, Gmail and Yahoo so that you can ensure it holds together. It is if course best to keep templates simple.

    That should get you moving in the right direction.

    Thanks Rob.

    We use MS Office 2003
    I had already gone through the Help files to work this out.

    When going to the links in your post only the Office Online site opens. That site is specifically for Office 2007 and it's Apps.
    No video plays even when asked to do so. And I am unable to access much in the way of any other information.
    Outlook 2003 does not appear to have the advanced Signatures capabilities.

    hmmm yes I see. The link won't launch now. I'll update it to point to the page instead.

    In any case, there is plenty of assistance for Office 2003 as well. Here's a sample search for Office 2003 Signature.

    From that I pulled in the attached Powerpoint presentation that details the procedure for both simple and fancy signatures. I've had a look through it and it contains what you need to know.

    That should get you going.
